Privacy & Safeguarding — Olive Bible Club

1. Who we are

Olive Bible Club ("we", "us") runs a safe, faith-based online club where children and teens play, learn Bible verses, and grow — with a parent or guardian in charge of the account. We are the data controller for the information described here, and we operate in Nigeria under the Nigeria Data Protection Act (NDPA).

2. What we collect

We keep this deliberately small. In practice, we collect:

From the parent or guardian

Your name, email address and phone number.
Your general location (country, and optionally state/city) so we can support families well.
A record of your consent — the date, the version of this policy you agreed to, and the internet (IP) address used, which helps us show consent was given.

For each child in your care

First and last name, a login username, and a private passcode (stored only in scrambled form, never as plain text).
Date of birth — used to place the child in the right age group for suitable content.
Activity within the club: stars earned, activities completed, and any artwork the child chooses to share with their own club, plus messages a parent sends to teachers.

We do not collect a child's email address, and we do not publish a child's photo or full name. A child's colouring is only ever shared inside their own club, and only if they choose to share it.

3. How we use it

Run the club	Create logins, show age-appropriate content, track a child's own progress and stars.
Keep families connected	Let parents message their child's teachers and receive lesson feedback.
Keep it safe	Approve new families, prevent misuse, and keep basic security records.
Contact you	Send account emails such as verification and password resets.

Our lawful bases under the NDPA are your consent (which you can withdraw) and our legitimate interest in running a safe club for the children in it. We do not use your information for advertising, and we do not sell it.

4. Consent — a grown-up is always in charge

Because our users include children, accounts are parent-mediated: only a parent or guardian can register a family and agree to this policy. We record that consent, and a real team member reviews and approves each family before a child can log in. You can withdraw consent at any time by contacting us (see Contact us), and we'll close the account and delete the information as described below.

5. Who we share it with

We don't sell or trade your information. We share it only with the trusted services we need to run the club, and only for that purpose:

Email delivery — to send verification and reset emails.
Website hosting — where the club and its database securely run.

These providers act on our instructions and are not permitted to use your information for their own purposes. We may also disclose information if the law requires it, or where it is necessary to protect a child's safety.

6. How we protect it

Passcodes and passwords are stored only as secure one-way hashes — never as readable text.
Access to family and child information is limited to approved staff, and teachers generally see only their assigned groups.
Connections to the site are protected, and we apply sensible security practices across the platform.

No online service can promise perfect security, but we take our duty to protect children's data seriously and keep improving our safeguards.

7. How long we keep it

We keep your family's information for as long as the account is active. If you ask us to delete it, or your family leaves the club, we remove the personal information, keeping only the minimum needed for safety and legal reasons (for example, brief security logs) and only for as long as necessary.

8. Your rights

Under the NDPA you have the right to:

See the information we hold about your family;
Correct anything that's wrong;
Delete your family's information ("be forgotten");
Withdraw consent or object to certain uses;
Ask for a copy of the information in a portable form.

To use any of these, contact us at hello@olivebibleclub.org and we'll respond promptly. If you're not satisfied, you may complain to the Nigeria Data Protection Commission (NDPC).

9. Children & safeguarding the promises that matter most

Keeping children safe comes before everything else. Our safeguarding commitments are:

A grown-up sets it up. Only a parent or guardian can create an account and consent.
Human approval. A team member reviews and approves each new family before a child can log in.
No contact with strangers. Children only ever play within their own club or family — never with unknown adults or the public. There is no open chat with strangers.
No public faces or names. We never display a child's photo or full name publicly; privacy is the default.
Data minimisation. We collect only what a children's club genuinely needs.
A named safeguarding lead. Aunty Rachael is responsible for child safety and is easy to reach at support@olivebibleclub.org.

Raising a concern: if you're ever worried about a child's safety on the platform, please contact our safeguarding lead straight away. We take every concern seriously and will act on it. If a child is in immediate danger, contact your local emergency services first.

10. Cookies & sessions

We use a small number of essential cookies to keep you signed in and to protect forms from misuse. We do not use advertising or cross-site tracking cookies. The "play a game" taster on our home page needs no account and collects no information about the person playing.

11. Changes to this policy

If we make an important change, we'll update the date at the top and, where appropriate, ask parents to review and agree again. Each consent is recorded against the policy version in force at the time.
